Artwork Approval & File Specification Policy

This policy forms part of the Terms & Conditions of sale for OnlineBanners.co.uk, operated by Aylesbury Signs Ltd.

By placing an order, you agree to the terms below.


1. Artwork Responsibility

You are fully responsible for:

  • Providing correctly sized artwork
  • Checking spelling, grammar and layout
  • Ensuring all information is accurate
  • Supplying high-resolution files
  • Ensuring you own or have permission to use all logos, images and trademarks

We are not responsible for errors contained in artwork supplied by you, or artwork created by us and approved by you.


2. Artwork Approval

Where a proof is supplied:

  • Production will not begin until written approval is received.
  • Approval confirms that you accept the artwork exactly as shown.
  • We are not liable for errors once artwork has been approved.

If you request that we proceed without supplying a proof, production will begin using the file supplied, and all responsibility for errors remains with you.


3. File Specifications

For best results, please supply artwork as:

Accepted Formats

  • PDF (preferred)
  • AI (Adobe Illustrator)
  • EPS
  • High-resolution JPEG or PNG
    All fonts converted to outlines, supplied in CMYK preferred for more accurate colour – we will convert RGB files to CMYK.

Resolution Requirements

  • Recommended 150dpi at full print size
  • For large format banners viewed at distance, 100–150dpi at full size is acceptable
  • Artwork supplied at lower resolution may print pixelated

We are not responsible for poor print quality resulting from low-resolution artwork.


Colour Mode

  • CMYK colour mode is recommended.
  • RGB files will be converted to CMYK, which may cause colour shifts.
  • Exact Pantone colour matching is not guaranteed unless specifically agreed in writing.

Colour variation between screen and print is normal and does not constitute a defect.


Size & Scale

Artwork must be supplied:

  • At full print size, or
  • At a clearly stated scale (e.g., 1:10)

If artwork is supplied at an incorrect size and no clarification is given, we will print at the size ordered.

We are not responsible for scaling issues caused by incorrect file setup.


Bleed & Safe Area

Where applicable:

  • Include at least 10mm bleed for banners requiring trimming/hemming.
  • Keep important text/logos at least 25mm from edges (especially where hems or eyelets are selected).

We are not responsible for content lost due to insufficient safe margins.


4. Fonts & Outlines

All fonts should be:

  • Converted to outlines, or
  • Embedded within PDFs

If fonts are not embedded and substitute fonts are used, we are not responsible for text changes.


5. Hems, Eyelets & Finishing

If your banner includes:

  • Hems
  • Eyelets
  • Pole pockets

Please ensure no critical text or logos are positioned within:

  • 25–50mm of edges

We are not responsible for content affected by finishing options selected.


6. Image Quality

Images downloaded from:

  • Social media
  • Websites
  • WhatsApp

Are usually too low resolution for large format printing.

We are not responsible for pixelation resulting from low-quality source images.


7. Copyright & Trademark

By submitting artwork, you confirm that:

  • You own the rights to all content, OR
  • You have permission from the copyright holder

We reserve the right to refuse to print any artwork that appears to infringe intellectual property rights.

You agree to indemnify Aylesbury Signs Ltd against any claims arising from the content you supply.


8. File Storage

We may retain artwork files for future reprints and order history.

If you require deletion of your files, please contact us.


9. Design Services

If we create artwork for you:

  • You must approve the final proof in writing. We are not responsible for any text or design inaccuracies once customer approves a proof.
  • Minor design variations may occur between screen and print.
  • We retain the right to showcase completed work for portfolio/marketing purposes unless otherwise agreed.

10. Urgent / Same-Day Orders

For urgent orders:

  • Files must be print-ready.
  • Delays caused by artwork issues may affect dispatch/collection times.
  • We are not responsible for missed deadlines due to incorrect files.

11. Reprints Due to Artwork Errors

Reprints caused by:

  • Spelling mistakes
  • Incorrect dimensions
  • Incorrect colours
  • Low-resolution files

Will be chargeable.
